U by zanii ("U", "we", "us") is a meeting-capture assistant that joins your meetings, transcribes them, and turns them into structured notes. This policy explains what we collect, why, and the control you have over it.

What we collect

Meeting content: audio, transcripts, and the notes, decisions, and action items generated from your meetings and voice notes.
Meeting metadata: titles, times, durations, participant names spoken in the room, and the join links you provide.
Account and contact data: your Telegram or account identifier and the destinations (portals, calendars) you connect.
Usage data: recording minutes and basic operational logs used for billing and reliability.

How we use it

To capture, transcribe, summarize, and deliver your meeting notes.
To file notes and action items into the destinations you connect, and to remind owners of due items.
To meter usage, secure the service, and fix problems.

Processors we rely on

To run the service we share the minimum necessary data with infrastructure and AI processors, including speech-to-text and language-model providers (such as OpenAI and Anthropic), our hosting providers, and Telegram where you use the bot. These providers process data on our behalf under their own terms and do not receive your data for their own marketing.

Recording consent

You are responsible for having the right to record and transcribe every meeting you capture, and for informing participants where the law requires it. U shows up as a named participant so the room can see it is present.

Retention and deletion

We keep your captures and notes for as long as your account is active so you can search and reuse them. You can delete an individual meeting at any time, and you can ask us to delete your account and associated data by contacting us. Backups are purged on a rolling basis.

Your rights

You can access, export, correct, or delete your data. Where applicable law grants additional rights, including the UAE Personal Data Protection Law (PDPL, Federal Decree-Law No. 45 of 2021) and the GDPR, we honour them. We do not sell your data. To exercise any of these, contact us below.

Security

Data is encrypted in transit. Access is restricted to the systems and people needed to operate the service. No method of transmission or storage is perfectly secure, but we work to protect your data and to disclose material incidents responsibly.
